Business pages: Grants submissions and DSR

The Division of Sponsored Research (DSR) is the portal by which all grants and contracts must be submitted. The DSR website (http://www.research.ufl.edu/research) is very comprehensive and will tell you more than you want to know. The pages below are a précis of what I think are the most useful features of that website.

The first thing you need to know is where to get help: Proposal Processing, which is located in 207 Grinter Hall and phone 392-9267. There are several staff members at that number who are extremely knowledgeable about proposals and will be able to find a quick answer for you. Most grants are now submitted electronically, and most use on-line forms. It is your responsibility to identify an appropriate funding opportunity and to read the guidelines; the DSR staff can help you to interpret and comply with those guidelines, but they can’t find the opportunity for you!

If you are applying for the first time to a federal agency (eg NIH, NSF) you will have to get a user name and password for their sites. For example, to initiate the NIH “Commons” registration process, visit the DSR Forms web page and complete the NIH Commons Registration Form. You only ever have to register once (but passwords need to be updated periodically).

Once you have completed your grant proposal, including budget, it must be sent to DSR who will review, hopefully approve, then forward your grant to the funding agency. For NIH grants, the following is needed by DSR, although all grants have similar requirements:

  1. The Complete and Final Grants.gov file, with the following other required documents;
  2. Other Required Documents
    1. You should prepare a DSR-1 form http://www.research.ufl.edu/research/pdf/dsr1.pdf and give to Cindy Powell to enter into the Peoplesoft system.
    2. Also complete and give to Cindy the departmental “no additional resources” form http://www.psych.ufl.edu/Employee/forms/GrantCert.pdf
    3. The electronic (Peoplesoft) UF Express Proposal Page signed by relevant PIs, Chairs, and Deans. Cindy Powell will enter your proposal into the system. You must then approve this from the ‘Worklist’ link on the my.ufl main menu (hint: Explorer NOT Mozilla).
    4. Disclosure of Conflict of Interest Form for federal applications (PIs signatures required).
    5. Subcontractor/Subaward proposal, signed by the subrecipient’s authorized official, if proposing a subcontract.
    6. Cost Sharing Documentation for any cost sharing that is being offered:

      For Mandatory: A copy of the Funding Agencies Guidelines and the written commitment from the individual authorized to commit the resources.

      For Non-mandatory or Voluntary Committed (offered to the sponsor in a proposal): Dean's written approval: the Chair has a form letter for this purpose.

  3. You can deliver a completed and final Grants.gov application package to DSR
